Working sheets for retail operations
Four spreadsheets our teams use on live deployments: end-of-day cash reconciliation, stock counts, cashier handover and VAT. Enter an email address and the file downloads straight away.
From live deployments
The sheets our project teams carry to site
Each one is a plain CSV holding the columns an operations lead fills in, taken from counts and reconciliations run on retail deployments. Nothing here is a demo grid: the rows are worked examples, so the file makes sense the moment it opens.
One row per terminal or SKU
Branch, terminal ID, cashier and count date are columns in every sheet, so each row traces back to a place and a person.
Plain CSV, no macros
No add-ins, no protected cells and no password. Open the file in the spreadsheet app you already run and start typing.
Variance built in
Expected, counted and the difference sit on the same row, so a shortfall is visible while the counter is still open.
Take the one you need
Each sheet downloads as a CSV the moment the form is submitted. Use them as they are, or move the columns into whatever the finance team already keeps.
Z-report reconciliation sheet
End-of-day cash reconciliation against the till Z-report, one row per terminal.
Use it when the cash counted at close has to be matched to the report the till printed. Expected, counted and the difference sit on one row, so a shortfall is visible while the cashier is still at the counter and it can still be traced.
Columns
- Date
- Branch
- Terminal ID
- Cashier
- Z-Report Number
- Expected Cash (NGN)
- Counted Cash (NGN)
- Variance (NGN)
- Card Total (NGN)
- Transfer Total (NGN)
- Notes
Stock count sheet
Quantity and value variance for a physical count, one row per SKU.
Use it for a full count or a cycle count on a range. Record what the system holds and what was actually on the shelf, then carry the difference into Naira at unit cost so the count can be signed off with a value attached to it.
Columns
- Count Date
- Branch
- SKU
- Item Description
- Unit
- System Quantity
- Counted Quantity
- Variance
- Unit Cost (NGN)
- Variance Value (NGN)
- Counted By
Cashier shift handover sheet
Shift change record for one terminal: float in, cash out, variance at handover.
Use it where two cashiers share a terminal across the day. The outgoing and incoming cashier sign the same row, which is what makes a shortfall traceable to a shift rather than to a whole trading day.
Columns
- Shift Date
- Branch
- Terminal ID
- Outgoing Cashier
- Incoming Cashier
- Shift Start
- Shift End
- Opening Float (NGN)
- Cash Sales (NGN)
- Cash Paid Out (NGN)
- Cash Handed Over (NGN)
- Variance (NGN)
- Notes
VAT reconciliation sheet
VAT charged against VAT remitted, one row per branch and period.
Use it before a filing to compare what the system charged at the standard 7.5 percent rate with what was actually remitted. The variance column is the amount to explain to your accountant, and the reference column keeps the filing number next to it.
Columns
- Period
- Branch
- Invoice Number
- Invoice Date
- Taxable Amount (NGN)
- VAT Rate
- VAT Charged (NGN)
- VAT Remitted (NGN)
- Variance (NGN)
- FIRS Reference
Next step
Reconciliation that runs inside the till
We build point of sale and back-office software for retailers in Nigeria. If these sheets are still being filled in by hand every evening, that work is usually better done inside the system.
